Terms and Conditions

​A Google Form will be provided during sign-up, requiring your signature to confirm agreement to these terms.
 

Wellbeing Tutor reserves the right to update these Terms and Conditions. Clients will be notified of any changes at least 30 days in advance.

Group Tuition

Description of Services: Small Groups

​

Wellbeing Tutor provides online English tutoring and academic skill development. Due to the nature of their approach, they may provide coaching in stress management and exam strategies. These services are educational and supportive in nature and are not a replacement for professional medical advice, diagnosis, or treatment.​

1. Platform Requirements

​

a. All services are delivered via Google Meet and Google Drive. If the platform changes in the future, clients will be notified at least 14 days in advance.
b. Students must have a Google account to access services. If a Google account is not available, one must be created free of charge.
c. Lesson links will be provided via Google Calendar.
d. Sharing of resources and recordings uploaded to Google Drive is strictly prohibited.

 

2. Student Engagement

​

a. Wellbeing Tutor will support academic achievement; however, students are responsible for their own progress, which depends on participation and efforts outside of sessions.
b. Students may turn off their cameras and microphones if agreed with the tutor, but they must actively engage via the chat function during group calls.
c. If engagement is insufficient, the tutor will inform the guardian/payer and collaborate to create a plan to improve participation.
d. Guardians may request progress updates via WhatsApp or email, with detailed reports available once per half-term upon request.

 

3. Behaviour Management

​

a. All users must behave respectfully during sessions. Harassment, discrimination, or inappropriate behaviour is strictly prohibited.
b. A 'three-strike' policy applies to repeated disruptions, after which the student may be removed from the program.
c. Guardians will be notified of disruptive behaviour and informed if it counts as a "strike."
d. Serious violations, such as harassment or discrimination, may result in immediate removal without applying the three-strike policy.

 

4. Payment and Scheduling

​

a. Payments are invoiced monthly in advance, following Manchester term dates (View Here). All sessions will run on bank holidays unless they fall within the outlined holiday dates.
b. Invoices are sent 14 days before the start of the invoiced month and must be paid by the first day of the month of service.
c. If payment is missed, a £10 late fee will be applied. The student will be unable to access sessions until the outstanding balance, including the late fee and any missed sessions, is fully paid.
d. Any payment changes will be communicated at least 30 days in advance.
e. Tutors are not obligated to mark work outside of the content covered during group tuition.
f. The tutor will ensure sessions begin and end on time; students and guardians cannot request that the sessions run overtime. 

 

5. Discovery Call and Trial Sessions

​

a. A free 30-minute consultation is offered to assess compatibility with the student and guardian/payer.
b. This session is for consultation only and does not include tutoring.
c. A longer, one-hour session, including 30 minutes of active tutoring, is available for £25, dependent on tutor availability.
d. Trial sessions for groups are charged at £25 per hour. If the client agrees to continue, sessions will follow monthly invoicing as per Section 4.

 

6. Discount Policy

​

a. The standard class price is £25 per hour unless using the discounts below.
b. Refer-a-Friend Discount: If you refer a friend, both you and the referred friend receive £25 off your first month of group tuition (up to 5 referrals per year).
c. Sibling Discount: Families signing up multiple children receive 10% off both child's tuition. This cannot be combined with other discounts.

 

7. Cancellation Policy

​

a. Group session fees are non-refundable, including for absences due to sickness, extenuating circumstances, or technical issues.
b. Students who miss a group session will receive access to the session recording and any resources for catching up. It is assumed by the tutor that the student will be caught up by their next session.
c. Tutors will provide 24 hours’ notice for cancellations due to extenuating circumstances. Clients may choose between a refund or rescheduling for tutor-initiated cancellations.
d. Permanent changes to session schedules (e.g., time or day) will be communicated at least 28 days in advance.

 

8. Communication

​

a. Communication with guardians/payers will occur via WhatsApp or email. Tutors aim to respond within 24 hours on business days and 48 hours on non-business days.
b. Parents consent to being added to a WhatsApp group for group updates; email updates will be provided for non-WhatsApp users.
c. For safeguarding reasons, direct communication with students under 18 is not permitted.
d. Guardians may request short progress updates via WhatsApp or email, with detailed reports available once per half-term.
e. Guardians may need to provide information on texts or topics the student is studying at school. This helps tailor lessons to the student’s academic needs when possible.

 

9. Termination of Services

​

a. Wellbeing Tutor reserves the right to suspend or terminate services immediately if these terms are violated.
b. Services may be terminated if a student is absent for 14 consecutive days without communication.
c. A 28-day written notice is required from either party to terminate services, except in cases outlined in Sections 11a and 11b.
d. Year 11 students: Classes will automatically end after their exams are completed.
e. Year 10 students: It is assumed they will continue services into the next academic year unless written notice of termination is provided.

 

10. Limitation of Liability

​

a. Wellbeing Tutor is not liable for indirect, incidental, special, consequential, or punitive damages arising from the use of its services.
